Job description

We are looking for a structured and proactive Project Administrator to support the administrative coordination of our projects. This role focuses on managing project documentation, supporting reporting processes, coordinating administrative activities, and ensuring that project obligations and deadlines are properly tracked.

The Project Administrator will work closely with external partners, particularly in areas related to public procurement, reporting, and compliance with EU/state-aid project requirements.

This is a highly organized administrative role that requires attention to detail, strong coordination skills, and the ability to manage multiple project-related tasks.

  • Provide administrative and coordination support for the projects;

  • Maintain and archive project documentation, records, and internal tracking systems;

  • Support the public procurement process;

  • Prepare procurement documentation and ensure required materials are collected and organized;

  • Coordinate the solicitation of bids, including obtaining and tracking multiple offers from suppliers;

  • Support the evaluation process and assist with documentation related to selecting winning bids;

  • Prepare and maintain records of procurement decisions and official documentation;

  • Assist in project reporting, including preparing documentation required by internal stakeholders or external institutions;

  • Monitor project deadlines and help ensure administrative milestones are met;

  • Coordinate communication between internal teams and external partners;

  • Support the organization of meetings, documentation reviews, and project updates, including preparation of meeting materials and minutes;

  • Ensure proper filing and availability of project documentation for internal and external review;

  • Support and coordinate internal Project team members;

  • Provide regular reports on project timelines, progress, and status;

  • Assist with translation of project-related documents and communication materials when required;

  • Perform other tasks assigned by the Employer.

Education

Bachelor's degree in Business Administration, Economics, Public Administration, Project Management, Law, or a related field

Experience requirements

  • 1–3 years of experience in administrative support, project administration, or project coordination

  • Experience working with documentation management, reporting, or compliance-related processes

  • Experience supporting EU-funded projects, public sector projects, process of public procurement, or grant-funded initiatives is an advantage

Personality requirements

  • Strong organizational and administrative skills
